3 to 6 Months Out (For Events Over 50 Guests)

Choose and book the venue. Confirm dates, capacity, and what's included in the rate.
Identify your vendors. Caterer, photographer, DJ, florist, and AV team.
Set a guest list target and invitation strategy. Decide your RSVP platform, deadlines, and confirmation process.
6 to 8 Weeks Out
Send invitations. Include all logistics: address, parking, dress code, and schedule.
Finalize catering. Get dietary restriction data from RSVPs before finalizing counts.
Confirm all vendors in writing. Arrival time, setup instructions, and final counts for each.
Draft the run-of-show. A minute-by-minute timeline for the event day.
Plan the décor and layout. Map out the space configuration with your venue contact.
2 Weeks Out
Do a venue walkthrough. Confirm every logistical detail in person.
Finalize guest count. Give updated numbers to your caterer and venue.
Prep all event materials. Programs, name badges, signage, and slide decks.
Assign event-day responsibilities. Every task needs a named owner.
1 Week Out
Send a final reminder to guests. Parking info, entry logistics, and schedule one more time.

Day Before
